Station Director Duties and Responsibilities

The Station Director/Administrative Assistant is responsible for the oversight of all activities related to providing MCTV 15 public access services and administrative support for Siskiyou Media Council. The Station Director/Administrative Assistant is hired by and reports directly to the Executive Director.

The Station Director is:

  • not an officer of the Board of Directors;
  • hired by the Executive Director;
  • managed by and reports to the Executive Director;
  • the person who serves on the front line interfacing with our volunteers and customers;
  • a partner with the Executive Director in achieving the organization's mission;

The Station Director Responsibilities:
  • Maintains and publicizes office hours as needed at COS office;
  • Makes recommendations for procedure changes;
  • Monitors Channel 15 signal from Northland Cable on television and U Stream? on website;
  • Checks that all equipment associated with programming and production is in working order. Report any problems to Technical Director or Executive Director via problem tracking system on website homepage or telephone in an emergency;
  • Process correspondence collected from COS Mail room, emails and the phone system;
  • Schedule and post bookings for studio and equipment check out to Dabble DB and to the white board in the office;
  • Update, monitor and maintain website. Post news, calendar and other relevant information;
  • Prepare and distribute monthly e-mail newsletter
  • Inventory and maintain adequate office supplies;
  • Work with Technical Director on an annual equipment review adn inventory;
  • Track and keep current all Public Access Producer information and record;
  • Track and keep current Public Access Volunteer contact information and records;
  • Inform and uphold operational policies for all users. Inform Executive Director of any policies in need of review or revision based on practical experience;
  • Insure that appropriate forms are available, completed and filed for all SMC and Public Access business;
  • Maintain up to date files on Dabble DB, website, and office cabinet drawers;
  • Verify appropriate access fees for all studio bookings and users with Production Coordinator paperwork;
  • Make bank deposits weekly as requested by ED;
  • Enter all transactions in Accounting System and reconcile monthly with Treasurer (TBD);
  • Work with Program director to process and arrange for pick up of any requests for DVD copies or other product services as directed.
  • Ensure all doors are securely locked before leaving;


Mail

  • Pick up the mail from the Administration Mail Room (Welcome Center Bldg)on a regular basis, new programming arrives weekly on Tuesdays.
  • Put checks in locked drawer for processing later

Phone

Process Answering machine messages in phone keypad when prompted for password - enter 5910#

Record call and response or action on Dabble DB Communications log with contact name and phone number

Open Google Chrome Gmail link
Print PSA's and file in EBB Folder on desk for Program Director processing



Monthly Schedule

Maintain Dry Erase board Calendar with a schedule of shoots, assign Production Coordinator and print out calendar page to post at entrance to studio.

Advance book the studio for series Producers up to two months in advance

Banking

Write a receipt for every transaction involving money
(receipt book kept in the top file cabinet drawer)
Photocopy all checks before depositing
Make a deposit slip for Tri Counties Bank before depositing any money and file Bank Deposit Confirmation Slip
Maintain a Petty Cash Account to be used for small purchases for the office supplies with a quarterly accounting for Treasurer
Record all customer transactions and keep a hard copy with date,customer information,amount, check #, etc. for entering later

Website

Update Web site - MCTV 15 home page with upcoming shoots or information about shoots
Update Web site - Post Board minutes, agenda monthly
Update Web Site – About – Address Book with new Producers & Volunteers phone numbers

Contact List

Keep the list of all Producers and current Volunteers up to date with phone numbers from Dabble base

Producer Records

Maintain Producer Records in file drawer with current Access Information and renewals
Communicate with Production Coordinators to insure accurate use of facilities and policy adherence
Insure clip boards have enough forms for processing and duplicate as necessary
Insure appropriate quantity of MCTV 15 Show Agreement forms for Program Director


Correspondence

Process as necessary with Direction from ED– Invoices, Cities, EBB, Sponsorship, Thank you letters, Tax Donations,etc.
